Experienced NDIS Admin VA Subcontractor Wanted
You’ve heard about this Virtual Assistant / Remote Admin type work and are ready to give it a go, but going out and finding clients is a bit daunting.
You want the flexibility to work your own hours from home, but working with a friendly supportive team will make it way more fun.
We are on the lookout for a new member for our small team, to help share our growing client workload, and maintain (improve even) our high standard of service. We’re after someone that understands the NDIS billing process for support providers, so you can hit the ground running with some of our current clients.
Hours are very flexible. Potential 10-20 hours per week for the right person. (more about flexibility below).
We are a growing agency specialising in providing administrative and marketing support for small service based businesses. We also specialise in the particular admin requirements of Allied health and the disability sector that provide services under the NDIS.
You need:
A good understanding of how the NDIS works from a Provider perspective. Experience with NDIS billing and related admin for an NDIS provider is essential.
Attention to detail. You’re not afraid to check for and edit spelling, grammar, and punctuation, or suggest improvements.
Comfortable working on your own, this role is well suited to introverts.
Good Communication.
Ask if you're not sure, stay in touch, and update on progress, etc.
Be comfortable contacting, speaking with and emailing clients about their respective projects and tasks,
Friendly and efficient.
To be flexible.
We are mostly a team of mums who work around school and daycare. We generally need to have at least a few hours on weekdays (at least a couple of days) to keep things moving and be responsive to clients. Apart from that though, if you want to work late at night or early in the morning, go for it!
We’re also flexible in taking on new types of tasks, apps, and software. So, you need a get-it-done sort of attitude.
Even though there’s plenty of variety, some tasks will be repetitive and boring. You need to be happy to roll with that too.
Not scared of technology. You don't have to know all the platforms and be an expert at them, but be able to find your way around and figure things out. We also provide training on how our current client’s processes are run.
Xero experience preferred.
Some of our clients are big picture thinkers with high level ideas. Being able to take these, fill in the details and suggest solutions.
Organised.
You like to check things off and know where things are up to.
You like documents and forms to be nicely formatted and easy to read,
Keeping digital filing in Google Drive, using logical naming and putting them in the right place.
A sense of humour. We’re serious about doing good work, but still love to have a laugh and support each other.

Training will be provided on all the main tools/software that we use, but you will need your own computer, a reliable internet connection, an ABN and the ability to invoice me for your time (we have a time tracking app).
We want you to be part of our team. We have Monday group video calls, and communicate via ClickUp to help each other out when needed to get the job done.
Tasks Could include:

Admin
Data entry in Spreadsheets, Xero and other apps
Invoicing and following up payments
Generating NDIS Bulk upload files and uploading to Proda
Formatting documents
Setting up online forms and workflows
Updating SOP’s and task lists
Client check-ins and updates
Following up forms being returned by clients, and their clients
Other general admin
