The “Joys” Of Getting Paid As An NDIS Provider

There are many different types of frustrations I have come across in helping NDIS providers over the last few years. This has been through both learning and doing the admin for our clients, as well as in speaking to NDIS providers that struggle with the amount of time it takes to do the admin just to get paid.

And most of these frustrations are not your fault! There’s not a lot of clear, easy to follow information out there, and if you’re only doing your claiming run once a week or less, it can be easy to forget the details of what’s what!

Using the NDIS portal can be daunting, time consuming, and incredibly frustrating. Here are a few of the most common frustrations faced by NDIS providers that we have come across:

  • Running out of funding

    Providing services and then finding out that there aren’t enough hours left in the service booking, and there aren't any hours left in the plan, leaving you out of pocket or needing to wait for the next plan review. If you don’t have a way of keeping track of what hours you’ve used from your SA, this can be a regular occurrence, and then how do you keep track of which participants need following up and who you’ve spoken to?

    And don’t even get me started about plans ending early!

  • Portal Woes

    Using the portal can also be super frustrating and daunting. From remembering what format things need to be in, getting the right information in the right place, systems being slow and then interpreting errors when they come up. This all makes the portal sometimes a very time consuming task.

  • Chasing Plan Managers

    Some other frustrations may include chasing plan managers to pay outstanding invoices. Some are just snowed under and take longer, while others may be more particular about information that is required on the invoices, and they may not give you feedback until you get around to checking why it’s not paid!

    And then if a participant changes plan managers in the middle of all this, there’s the buck passing! “No you’ll need to ask the previous plan manager about that one!”
    “NO we don’t manage that plan anymore!” 
    UGH!

Unfortunately it IS time consuming and part of that is probably not going to change no matter what or how you do it, it’s just the nature of dealing with a government scheme. And, the more time you spend on these problems, means time that you are not spending seeing more clients or growing your business and team - which means it’s costing you income overall.

 BUT there are ways that you can reduce some of that time by either outsourcing - some or all of it - or learning an easier, more streamlined way to do this task.  

It can be SO stressful if you don’t have the right systems and processes in place. 

You don’t want to be always worrying that you might have missed something. I still remember when I first started doing NDIS claims and feeling like I was juggling all these puzzle pieces! 

The biggest help for all of these frustrations is having a streamlined, time efficient system and a way of managing information to make sure that you've done everything you need to so nothing gets missed.
